Tags give you flexible, multi‑category organization for your saved items in Password Boss. Instead of being limited to folder structures, tags allow you to group items in ways that match your personal or business workflows.

 

Why Tags Matter

Tags let you organize items across multiple contexts—clients, projects, accounts, or categories—without moving them between folders.

Faster Searching

Using tags makes it easier to locate items quickly using the Search bar or Custom Views.

Personalized Structure

Tags are unique to each user, so you can tailor your tagging system to fit your daily processes.

 

Planning Your Tagging System


Use a Naming Convention

A consistent naming pattern helps keep your tags clean and predictable. Examples include:

  • Use prefixes such as #clientA, #finance, or #HR
  • Determine full vs. shorthand (“marketing” vs. “mktg”)
  • Use case sensitivity when it helps (e.g., “HR” vs. “hr”)

Create Reusable Tags

Avoid creating new tags when an existing one is close in meaning.
Good reusable tags include:

  • Client names
  • Project codes
  • Departments
  • Work vs. personal categories

Keep Tags Short

Use one or two words per tag. Longer labels can be split across multiple tags.

Tag Consistently

Apply the same tag format every time you save or edit an item. Inconsistent tagging leads to incomplete search results.

Avoid Redundant Tags

Ensure tag names don’t unintentionally duplicate meaning, such as:

    Choose one version and stick with it.

  1. Enter any tag name into the Search field.

Using Tags with Custom Views


Why Combine Tags and Custom Views

Custom Views allow you to build always‑up‑to‑date filtered lists based on tags. This is ideal for task‑based or client‑specific dashboards.

How to Build a Tag‑Based Custom View

  1. Go to Settings → Custom Views.
  2. Add a new view.
  3. Select the tags you want included.
  4. Save the view.
  5. Items with matching tags will automatically appear going forward.

 

Maintaining Your Tag List


Regular Cleanup

Review tags in Settings → Tags to:

  • Delete tags you no longer need
  • Merge or rename inconsistent tags
  • Remove duplicates created by imports or inconsistencies

Export or Document Your Tag System

For business use, keeping a documented tag list helps maintain consistency across team members, shared policies, or internal workflows.
